Accessing SES Hospedajes: which credential is which and where to find it

SES Hospedajes does not hand you one credential but several, and most access problems come from using one where another was needed. This guide separates them, says where each one lives inside the Ministry of the Interior’s portal and which screen you have to open to see it.

When you complete registration, the Ministry of the Interior issues two different sets of credentials: those for accessing the application and those for the web service, which is the automatic procedure through which a program sends the communications for you. You enter the portal with a digital certificate or with Cl@ve, or with the username and password you were given at registration; you enter the web service only with the web-service username and password. You also have two codes that are not credentials: the «código de arrendador» (lessor code), which identifies the obligated holder, and the «código de establecimiento» (establishment code), which identifies each accommodation. A 401 error when sending almost always means the portal credential has been entered where the web-service one belonged.

How many different credentials are there in SES Hospedajes?

Two sets, and it pays to be clear about this from the start, because almost every access stumble comes from here. The Ministry of the Interior’s electronic office says so in so many words when it describes the register of establishments and entities: once registration is completed, both the credentials for accessing the application and those that allow communications to be sent through the automatic procedure via a Web Service are provided.

The first are the ones you use yourself, in the browser, to log in and look at or send something by hand. The second are not typed by a person: a program uses them to authenticate against the sending service, and they are the ones you paste into a tool such as BookCheckin. They are different, they are changed in different places and they cannot be swapped.

Besides the credentials there are two codes that authenticate nothing, but without which you cannot submit a traveller report (parte de viajeros) either: the «código de arrendador» (lessor code), which identifies the obligated holder and travels in the header of every communication, and the «código de establecimiento» (establishment code), which identifies the specific accommodation. The table summarises what each thing is and where it comes from.

How do you get in? The three accesses of the electronic office

On the electronic office, inside the grouping «Hospedajes y alquiler de vehículos» (accommodation and vehicle rental), there is not one access button but three, and each leads somewhere different. Choosing the wrong one is the quickest way to end up on a screen that does not have what you were looking for.

The first, «Acceso al registro de establecimientos y entidades», opens the registration area: it is where the entity and the establishments are registered, where the two codes are looked up and where the web-service credentials are managed. It identifies you with Cl@ve, which in turn offers three methods: Cl@ve Móvil, electronic ID card or electronic certificate, and Cl@ve permanente.

The other two lead to the application for querying and sending communications: one through Cl@ve and one without a certificate, which is the one that asks for the username and password you were given when you registered. If what you need is to see your codes or your web-service credentials, neither of these two is your route: you have to enter through the first one.

For the initial registration you also need to be able to sign: the electronic office states that you must be registered in Cl@ve Firma or have autofirm@ installed to use local certificates. That step comes before everything else and cannot be skipped.

Where do I see the código de arrendador and the código de establecimiento?

Both are on the same screen, two clicks away, and it is the question that comes up most. Enter through «Acceso al registro de establecimientos y entidades», identify yourself and you will see the screen «Registro de entidades y establecimientos» with four blocks: Entidades, Establecimientos, Mis datos registrados and Servicio de comunicación.

Press «Mis datos». At the top, under the heading «Datos de la empresa», there is a «Código» field: that is your código de arrendador. In that same section is the checkbox «Envío de comunicaciones por servicio web», worth checking while you are there because it is one of the usual reasons the web-service credentials do not work.

Scroll down that same screen to «Lista de establecimientos». Each row is an accommodation and already shows its code in the first column; if you open the record with the view action, the «Ver establecimiento» window repeats the «Código» field next to the rest of the property’s details. That is the código de establecimiento of that specific accommodation.

Bear in mind that they are two different things and that neither is your regional tourism registration number. The Ministry’s codes are short, ten characters or fewer, shaped like 0000102467. If what you have in front of you is a VT, a VFT or a long identifier from your autonomous community, it belongs to another register and is no use here.

Where are the web-service credentials?

On the same registration screen, in the fourth block: «Servicio de comunicación», described as the management of your access credentials for the web service, with the «Credenciales» button. Pressing it opens «Usuario servicio web», where you first choose the entity if you have more than one registered.

Below, under «Datos del usuario», the Ministry shows your user information for sending communications by web service: the username, the name and the registration date. This is the part that surprises many people and is worth saying plainly: the password does not appear. The screen neither shows it nor reminds you of it. All you can do is press «Cambiar contraseña» and set a new one.

The window itself states the requirement: the new password must have at least eight characters, one uppercase letter, one lowercase letter and one number. If the change succeeds, the system answers with «¡Contraseña cambiada!». From that moment the previous one stops being valid, so if you had the credential set up in any program it has to be updated there too or sending will start to fail.

Why do I get a 401 error if the credentials look right?

A 401 is an authentication rejection: the Ministry has not even got as far as looking at the guest’s data. Three causes explain practically every case.

The first, and by a wide margin the most frequent, is having put the portal credential where the web-service one belonged. You can tell them apart at a glance: the username you use to enter the application is your ID document number, whereas the web-service username is the one shown under «Usuario servicio web» and in practice usually ends in «WS». If you have typed a DNI or an NIE into the username field of a sending tool, that is the problem.

The second is that the entity does not have sending by web service switched on. It is the «Envío de comunicaciones por servicio web» checkbox on «Datos de la empresa» that we mentioned earlier. When it is missing, the rejection comes as a lack of permissions, and a real send ends up returning error 10119, «El arrendador no puede realizar ese tipo de comunicaciones» (the lessor cannot carry out that type of communication): it is not fixed by touching the guest’s data, but the lessor’s configuration.

The third is a typo or an extra space copied in when pasting. BookCheckin trims spaces when saving and again before authenticating, so here it is a less frequent problem than in other tools, but it still exists wherever you paste the credential by hand.

If the rejection is not about authentication but about data, the route is different: the Ministry resolves submissions asynchronously and returns the result in the batch status, with its own error message.

What does BookCheckin ask for and where does each thing go?

Four items, all yours and all obtained on the Ministry’s portal: the web-service username and password, the código de establecimiento and the código de arrendador. We do not ask for your digital certificate or your Cl@ve, and we could not use them even if you gave them: communication with the Ministry is authenticated with a username and password, not with a client certificate.

It is worth saying what we do not do as well. BookCheckin does not register you with SES Hospedajes or generate your codes: registration is a step you take with the Ministry, and the Ministry assigns the codes. We only use what it has already given you.

The four fields are saved on the accommodation’s record and the credentials are stored encrypted. When saving, BookCheckin trims surplus spaces, and it rejects a code longer than ten characters instead of trimming it, because trimming it would mean submitting traveller reports against an establishment that is not yours.

The «Probar conexión» button makes a read-only query against the Ministry and is a requirement before you can create check-in links. It is important to understand what it tests and what it does not: it confirms that the username and password authenticate, because that query carries no code. It does not confirm your código de arrendador, which is only checked when the first real traveller report goes out.

In Catalonia the flow is different and it is worth saying plainly: BookCheckin prepares the travellers file in the official format of the Mossos d’Esquadra and you upload it to the portal yourself; we never send anything ourselves. With the Ertzaintza, in the Basque Country, it is the same: once you have saved the establishment code the Ertzaintza issued you on the property, BookCheckin prepares the XML file for its Registro Hostelero and you upload it to their portal yourself; nor do we send anything ourselves there.

    Open the hospedajes grouping on the electronic office

    Go to the Ministry of the Interior’s electronic office and open the grouping «Hospedajes y alquiler de vehículos». You will see three different accesses, all with the same SIA code.

    Choose the registry access and identify yourself

    Press the access to the register of establishments and entities, not the query-and-send ones. You will identify yourself with Cl@ve, which offers Cl@ve Móvil, electronic ID card or electronic certificate, and Cl@ve permanente.

    Open «Mis datos» and note the código de arrendador

    On the «Registro de entidades y establecimientos» screen, press «Mis datos». Under «Datos de la empresa» is the «Código» field: that is the código de arrendador. While you are there, check the «Envío de comunicaciones por servicio web» checkbox.

    On the same screen, the list of establishments shows each accommodation’s code in the first column. Opening the record with the view action displays «Ver establecimiento» with the same «Código» field.

    In the «Servicio de comunicación» block press «Credenciales». Under «Usuario servicio web» choose the entity and note the username. The password is not shown: if you do not have it, press «Cambiar contraseña» and set a new one of at least eight characters with one uppercase letter, one lowercase letter and one number.

Frequently asked questions

How do I access SES Hospedajes?+

It depends on what you want to enter. The register of entities and establishments is entered with a digital certificate or with Cl@ve, from the access that the electronic office calls «Acceso al registro de establecimientos y entidades». The application for querying and sending communications is entered in two ways: with the certificate used for registration, or with the username and password that the Ministry provides when registration is completed.

What is my SES Hospedajes username?+

There are two and they are not the same. The application one is your ID document number: the login screen asks for «Número de documento» and «Contraseña», and password recovery asks for that same number together with the email address you used when you registered. The web-service one is different, appears on the portal’s «Usuario servicio web» screen and in practice usually ends in «WS».

Where do I see the código de arrendador?+

Enter through the access to the register of establishments and entities, identify yourself and press «Mis datos». In the «Datos de la empresa» section there is a «Código» field: that is the código de arrendador (lessor code), which identifies the obligated holder and travels in the header of every communication. It is a short Ministry code, ten characters or fewer, not your regional tourism registration number.

Where do I see the código de establecimiento?+

On the same «Mis datos» screen, further down, in «Lista de establecimientos». Each accommodation appears with its code in the first column, and when you open its record the «Ver establecimiento» window repeats it in the «Código» field. If you manage several accommodations, each one has its own.

Where do I get the web-service credentials?+

They are provided when registration is completed, together with the application access ones, and are managed afterwards on the portal: «Registro de entidades y establecimientos» screen, «Servicio de comunicación» block, «Credenciales» button. There, under «Usuario servicio web», you choose the entity and see your user details for sending communications by web service.

Can I see my web-service password?+

No. The screen shows the username, the name and the registration date, but not the password, and there is no way to recover it. All you can do is press «Cambiar contraseña» and set a new one, which must have at least eight characters, one uppercase letter, one lowercase letter and one number. When you change it, the previous one stops working: update it in any program that was using it as well.

Why do I get a 401 error when creating the traveller report (parte de viajeros)?+

Because the Ministry rejected the authentication before looking at any guest data. The three usual causes are: having put the portal access credential where the web-service one belonged, the entity not having the «Envío de comunicaciones por servicio web» checkbox ticked, or a typo or an extra space when pasting. Start with the first: if the username you typed is a DNI or an NIE, it is not the web-service credential.

Do I need a digital certificate or is Cl@ve enough?+

The electronic office admits both routes: to register you need a digital certificate or to be registered in Cl@ve, and to sign the registration you must be in Cl@ve Firma or have autofirm@ installed if you use local certificates. Can I create more users for my gestor or my team?+

Yes. The platform has its own user-management procedure, which is accessed with the digital certificate you registered with or with the platform access credentials, and which lets you register users by entering the personal details of the person each one belongs to. Independently of that, the Ministry accepts that the communication of the data may be made by a third party, provided that third party is authorised by the obligated party through any of the means admitted in law to act on another person’s behalf.

How does this guide differ from the SES Hospedajes registration guide?+

This guide takes it for granted that you are already registered and answers «where is each credential and each code». The registration guide tells the procedure from scratch: what you need before starting, how the entity and each establishment are registered and which screens have to be filled in. If you have not registered yet, start with that one.

Which credentials do I need if my accommodation is in Catalonia or the Basque Country?+

None of these. Those two regions do not report to SES Hospedajes but to the register of the Mossos d’Esquadra or that of the Ertzaintza, which have their own registers, formats and credentials. The código de arrendador and the código de establecimiento, and the web-service username, belong to SES Hospedajes.
