BookCheckin + Lodgify
Connect your Lodgify account to BookCheckin: confirmed bookings arrive on their own, every guest checks in online, and the traveller report goes to SES Hospedajes.
Start freeIn brief
You paste your Lodgify Public API key into BookCheckin and the connection is done. From then on BookCheckin reads your confirmed Lodgify bookings arriving in the next 60 days and creates one check-in link per booking, with the dates, the name, the contact details and the guest count already filled in. The guest completes their registration from their phone and BookCheckin files the traveller report (parte de viajeros) with SES Hospedajes. The connection is read-only: BookCheckin never writes anything back to your Lodgify.
How the Lodgify integration works
Lodgify is where your bookings already live: the direct ones from your own website, and the ones arriving from Booking.com, Airbnb or Vrbo through whichever channels you have connected. BookCheckin connects to your account with a Lodgify Public API key and reads those bookings.
For every confirmed booking arriving in the next 60 days, BookCheckin creates a check-in link using the data Lodgify already holds. The guest opens it on their phone, fills in their details, scans their ID and signs before arrival. Once they are done, BookCheckin files the traveller report with SES Hospedajes inside the legal 24-hour window.
The sync is periodic, not instant: Lodgify does not notify us the moment a booking appears, so BookCheckin polls your account at intervals. If you would rather not wait, hit “Sync now” on the Integrations tab and the bookings come in there and then.
What comes from Lodgify, and what BookCheckin asks the guest for
Lodgify supplies the booking. The identity data Royal Decree 933/2021 requires — ID document, date of birth, nationality, signature — is in no PMS at all, because the guest never gives it to the platform. They supply it themselves during online check-in.
| Field | Source |
|---|---|
| Arrival and departure dates | Lodgify |
| Name of the lead booker | Lodgify |
| Lead booker’s email and phone | Lodgify, when the booking carries them |
| Number of guests and of minors | Lodgify: adults, children and infants |
| Originating channel: Airbnb, Booking.com, direct… | Lodgify |
| Booking reference | Lodgify |
| ID document, date of birth and nationality of each traveller | The guest, during online check-in |
| Relationship of minors, and the signature | The guest, during online check-in |
No PMS stores the identity of the accompanying travellers. That is why the guest’s online check-in is the piece that completes the traveller report.
- ✓The originating channel is not decoration: BookCheckin stores it and uses it to fill in the payment type on the report, which is not the same for a platform booking as for a direct one.
- ✓The guest count is taken as the higher of two independent numbers — the occupancy the booking declares, and the sum of adults, children and infants. That is a deliberate safeguard: the report has to reflect everyone sleeping at the property, and it is the establishment holder who answers for a number that falls short.
- ✓If a booking arrives with no email and no phone — common when the platform masks contact details — the link is still created and BookCheckin flags it so you can deliver it yourself.
What you get by connecting Lodgify to BookCheckin
- ✓Zero manual entry: confirmed Lodgify bookings arrive on their own, whether they came from your website, Booking.com or Airbnb.
- ✓One check-in link per booking, with dates, name, contact details and guest count already filled in.
- ✓AI-powered DNI, NIE and passport scanning, digital signature, and the traveller report filed with SES Hospedajes inside the 24-hour window.
- ✓A read-only connection with encrypted credentials: BookCheckin changes nothing in your Lodgify, and the key is never returned by the API.
What this integration does not do
Worth knowing before you connect, so nothing comes as a surprise.
- ✓There is no direct connection to Booking.com or Airbnb. Those bookings arrive because they are already in your Lodgify; there is no official integration with either platform’s API.
- ✓It is not real time. BookCheckin polls Lodgify at intervals and you can force a sync whenever you like, but Lodgify does not push new bookings to us instantly.
- ✓It does not update bookings that have already synced. If you change dates, guests or contact details in Lodgify after the first sync, the link that already exists will not update itself — edit it in BookCheckin. Same with a cancellation: deactivate the link yourself.
- ✓It does not pull your whole history. Each sync looks at confirmed bookings arriving between today and the next 60 days; further-out ones arrive when their turn comes.
- ✓It writes nothing to Lodgify. No check-in flags, no notes, no guest data going back.
- ✓It does not replace your SES Hospedajes credentials. The property needs its own, verified in BookCheckin; without them no links are created.
- ✓In Catalonia and the Basque Country it files nothing for you. In Catalonia you enter and confirm the establishment id the Mossos d’Esquadra issued, and BookCheckin prepares the V24 file that you upload to their portal; in the Basque Country you add the establishment code the Ertzaintza issued you and switch it on, and BookCheckin prepares the XML file for its Registro Hostelero, which you also upload yourself. Until that is on file for the property, check-in links cannot be created.
How to connect Lodgify to BookCheckin
Five steps, once. You need the BookCheckin Pro plan and a Lodgify plan that includes Public API access.
- 1
Copy your Public API key in Lodgify
In Lodgify, go to Settings → Public API. The key is already there: nothing to generate. Make sure you copy the Public API key and not a channel-management key.
- 2
Paste the key into BookCheckin
In BookCheckin, go to your company → Integrations → Add integration, pick Lodgify and paste the key. It is stored encrypted and the API never returns it.
- 3
Match up your properties
On each BookCheckin property, enter its Lodgify property id in the PMS listing id field. If the name matches unambiguously BookCheckin will also resolve it by name; if two properties share a name it does not guess — it tells you.
- 4
Sync
Hit “Sync now” on the Integrations tab. BookCheckin pulls the confirmed bookings arriving in the next 60 days and creates one check-in link per booking. Sync again and nothing is duplicated.
- 5
Get the link to the guest
Send it yourself from the dashboard, or let BookCheckin do it: set up an email or WhatsApp automation for that company and the link goes out on its own. Once the guest finishes checking in, the traveller report is filed with SES Hospedajes.
Frequently asked questions
Does Lodgify file the traveller report with SES Hospedajes?+
No. Lodgify is a PMS and a channel manager: it manages your bookings, it does not file them with the Ministry. What BookCheckin does is read those bookings, collect from the guest the identity data Royal Decree 933/2021 requires, and file the traveller report (parte de viajeros) with SES Hospedajes inside the 24-hour window.
How do I connect Lodgify to BookCheckin?+
With a single key. You copy the Public API key from Settings → Public API in Lodgify and paste it into BookCheckin, under Integrations → Add integration. No OAuth, no development work, no support ticket — and the key is stored encrypted.
Which plan is it on?+
The Lodgify integration is included in the BookCheckin Pro plan. On the Lodgify side you need a plan that includes Public API access: you can see it under Settings → Public API in your own Lodgify dashboard.
How often do bookings sync?+
Periodically, not in real time. Lodgify does not send instant notifications, so BookCheckin polls your account at intervals. If a booking has just come in and you would rather not wait, hit “Sync now” on the Integrations tab.
Do my Booking.com and Airbnb reservations come through too?+
Yes, if they are already in your Lodgify. BookCheckin does not connect directly to Booking.com or Airbnb — there is no official integration with their APIs — but those reservations already live in your PMS and arrive that way. BookCheckin also records which channel each one came from.
What happens if I change a booking in Lodgify after syncing?+
The check-in link that already exists does not update itself. The sync creates new links, it does not modify existing ones, so if you move the dates or the guest count changes, edit the link in BookCheckin. For a cancellation, deactivate the link yourself.
What if a booking arrives with no email or phone?+
The link is still created. Plenty of platform bookings arrive with masked contact details; when that happens BookCheckin flags it and you deliver the link to the guest through whatever channel you normally use.
Does BookCheckin change anything in my Lodgify account?+
No. The connection is read-only: BookCheckin reads your properties and your bookings and writes nothing back to Lodgify — no statuses, no notes, no guest data.
Does it work in Catalonia and the Basque Country?+
Yes, in both, with one setup step in each. In Catalonia you enter and confirm on the property the establishment id the Mossos d’Esquadra issued, and BookCheckin prepares the V24 file that you upload to their portal. In the Basque Country you add on the property the establishment code the Ertzaintza issued you and switch it on, and BookCheckin prepares the XML file for its Registro Hostelero, which you upload to their portal yourself. Until that is on file, the property cannot create check-in links.
