BookCheckin grew out of the day-to-day running of more than 130 tourist apartments in Spain. It is not a boardroom idea: it is the tool we needed to keep up with traveller registration without losing hours every week.

It automates guest data collection, document scanning with OCR and the filing of the traveller report to SES Hospedajes under RD 933/2021 — with no facial recognition and without storing document images. Why BookCheckin exists
Running tourist accommodation in Spain, we hit the same problem every single day: collect each guest’s details, retype them by hand and upload them one by one to the Ministry of the Interior’s system before the 24-hour deadline in Royal Decree 933/2021 ran out. Slow, repetitive, and all too easy for a report to slip through unsent.
We built BookCheckin to solve it at the root. The guest gets a check-in link as soon as the booking is confirmed, fills in their details, scans their ID document with their phone camera and signs — all before they arrive. Once the check-in is complete, we generate the traveller report and file it with SES Hospedajes, with the Ministry’s acknowledgement on record.
Every feature runs daily on our own bookings before it reaches yours. That is why we are strict about what we promise: we would rather explain clearly what the product does and what it does not do yet than inflate the feature list.

We file to the national system only (SES Hospedajes)
We send traveller reports to the Spanish Ministry of the Interior’s system under RD 933/2021. In Catalonia (Mossos d’Esquadra) and the Basque Country (Ertzaintza), which run their own regional registries, we do not provide the service today: check-in links cannot be created for those properties, and we say so plainly rather than promise an integration that does not exist.
Document scanning with OCR, no facial recognition
The guest photographs their DNI, NIE or passport and we extract the data with optical character recognition (OCR). We do not use facial recognition at check-in: we read the document, not the face.
We do not store document images
We use the photo of the document to read the data and we do not keep it. We retain only the information the regulations require us to report, encrypted and with access restricted per property.
