How it works, step by step
From the check-in link to the Ministry acknowledgment — without ever logging into the government portal.
A booking comes in
You add the property and enter the booking manually or sync it from your PMS or channel. BookCheckin generates a unique check-in link for the guest.
The guest checks in online
They receive the link by email, WhatsApp, or SMS and fill in their data from their phone, in their language, before they arrive.
They scan their document
They photograph their DNI, NIE, or passport. Our AI extracts name, surnames, document number, nationality, and date of birth — no manual typing.
Review, validate, and sign
The guest confirms the data and signs digitally. BookCheckin validates every field against what SES Hospedajes accepts before anything is sent.
It files to SES Hospedajes
The traveller report is filed automatically with the national Ministry of the Interior system, and the acknowledgment is stored against the booking, ready for any inspection.

What we do NOT do (and others leave out)
No facial recognition in check-in
Verification is based on the document: OCR scanning and the guest’s confirmation. The check-in flow uses no facial recognition — it verifies the document with OCR, not the face.
We do not store document images
We extract the fields the law requires and do not keep the photo of the guest’s DNI or passport. Fewer sensitive images stored means a smaller risk surface.
We file to the national system only (SES Hospedajes)
Catalonia (Mossos d’Esquadra) and the Basque Country (Ertzaintza) keep their own police registries, which we do not file to automatically today. In those regions BookCheckin still digitises the data, scanning, and signature, and you submit the report to the regional system.

Which documents can it scan?+
Spanish DNI and NIE — both sides — and passports. The AI extracts name, surnames, document number, nationality, and date of birth, and the guest reviews the data before signing. Nothing is typed by hand.
Does it use facial recognition or store document photos?+
No. In the check-in flow BookCheckin runs no facial recognition — it verifies the document, not the face — and it does not store the images of the DNI or passport. It extracts only the fields the regulation requires and keeps them encrypted for the legally required period.
Does it work if my property is in Catalonia or the Basque Country?+
BookCheckin files to the national SES Hospedajes system. Catalonia and the Basque Country keep their own police registries (Mossos d’Esquadra and Ertzaintza) that we do not file to automatically today. In those regions the platform still digitises data collection, document scanning, and signature, and you submit the report to the corresponding regional system.

What is the deadline to file the traveller report?+
