In short

To do online check-in for your Cloudbeds reservations, connect Cloudbeds with an API key. BookCheckin creates one check-in link per reservation and, once the guest has filled in their details and scanned their ID, sends the report to SES Hospedajes with your credentials (in Catalonia and the Basque Country, you upload the file). The Pro plan is required.

What do you need before you start?

  • ✓A BookCheckin account on the Pro plan: PMS integrations, Cloudbeds included, are on Pro (€5 per property per month for 1 – 3 properties; the per-property price drops automatically with more properties).
  • ✓A Cloudbeds account with API access, to create an API key. According to Cloudbeds’ documentation (read on 27 October 2026), API access depends on your package: it is either included or you request it from Cloudbeds.
  • ✓Your property set up in BookCheckin, with its SES Hospedajes sending credentials saved.

How do you connect Cloudbeds? Step by step

  1. 1Create an API key in Cloudbeds

In your Cloudbeds account, open “Apps & Marketplace” and go to “API Credentials”. Create new credentials with “+ New Credentials”; then, in the “API Key” column of the table, click “Create” and tick the read:reservation permission, which BookCheckin needs to read your reservations. Cloudbeds shows the key only once, so copy it. When you choose Cloudbeds in BookCheckin you will see the connection instructions as well.

  2. 2Paste it into BookCheckin

Inside your company, open the “Integrations” tab and, under “Channel manager & PMS”, click “Add integration”, choose Cloudbeds and paste the API key. If you only want to read one of your Cloudbeds properties, also add its Property ID; it is optional.

  3. 3Link each room to its property

So that each reservation ends up in the right property, set on each property’s “PMS” card which Cloudbeds room or unit it corresponds to. If your company has a single property, this step is not needed.

  4. 4BookCheckin creates one link per reservation

From then on, BookCheckin reads your Cloudbeds reservations automatically and periodically, and creates a check-in link for each one with the dates, the number of guests, and the main guest’s name, email and phone as they appear in Cloudbeds. You can also click “Sync now”.

  5. 5The guest receives their link

With the Pro plan’s email automations the link can be sent to the guest on its own; you can also copy it and send it yourself.

  6. 6The guest does the online check-in

From their phone, they fill in their details, scan their ID or passport and sign, without installing any app.

  7. 7The report reaches SES Hospedajes

When all the guests on the reservation have checked in, BookCheckin sends the report to SES Hospedajes with your credentials and shows in the dashboard whether it was accepted. If you prefer to review it before it is sent, you can switch off automatic sending on the property.

What if my property is in Catalonia or the Basque Country?

There, guest registration does not go to SES Hospedajes. BookCheckin runs the same online check-in and prepares the official file for you to upload on the authority’s portal: the Mossos d’Esquadra file in Catalonia and the Ertzaintza’s Registro Hostelero XML in the Basque Country.

How much does it cost?

The Cloudbeds integration is on the Pro plan: €5 per property per month for 1 – 3 properties, with automatic volume discounts. Creating an account is free and needs no card. Your 90 free days start when you choose a plan and add your card.
