Check-in Vacacional vs BookCheckin

The Check-in Vacacional alternative for when you want more than pay-per-report

Check-in Vacacional charges per use: you pay for each filing to SES Hospedajes, with no monthly fee. We compare honestly when that model is cheapest for you and when a full platform with a flat fee pays off.

In short: Check-in Vacacional or BookCheckin?

Check-in Vacacional is a Spanish pay-per-use tool: per its website (consulted July 2026), 2 credits equal one complete filing to SES Hospedajes (regardless of how many travellers the booking has), there is no monthly fee or lock-in, and it gives you 3 free credits on sign-up. If you have very few bookings a year — a second home you rent occasionally — that model can be cheaper than any subscription, and we say so plainly. BookCheckin works on a flat fee (from €3/property/month, with 3 months free) and in return includes online check-in, AI scanning of DNI, NIE, and passport, PMS and smart-lock integrations, and cancellation of already-filed reports: for a steady volume of bookings, the flat all-inclusive fee tends to pay off.

What Check-in Vacacional and BookCheckin have in common

Check-in Vacacional is a Spanish traveller-registration platform: it generates a check-in link you share with the guest by WhatsApp or email, collects their data and digital signature, and files the traveller reports with SES Hospedajes in compliance with RD 933/2021. Like BookCheckin, it leaves paper behind and automates the filing.

The basic legal obligation is covered by both. The big difference is the pricing model — pay-per-use versus subscription — and the scope: how much work each tool automates beyond the filing itself.

Pricing compared: pay-per-use vs subscription (2026)

Per the Check-in Vacacional website (consulted July 2026), its model is credits with no monthly fee: 2 credits per filing to SES Hospedajes, with packs from €20 (10 credits) to €85 (100 credits), which puts a credit between €2 and €0.85 — that is, between roughly €4 and €1.70 per filing — plus 21% VAT. Credits do not expire and there are 3 free on sign-up.

BookCheckin publishes a flat per-property fee — Basic €3, Pro €5, and Business €7 per month — with no per-filing or per-guest cost, automatic volume discounts, no minimums, and the first 3 months free. The maths is simple: when the number of filings per month is low, pay-per-use wins; past a certain volume, the flat all-inclusive fee works out cheaper.

Why accommodations choose BookCheckin

BookCheckin makes sense when traveller registration stops being a one-off task and becomes a recurring operation you want to run on its own.

  • Flat fee with no per-filing or per-guest cost: the price does not grow with every booking.
  • Pre-arrival online check-in, with digital signature and automatic data validation.
  • AI scanning of DNI, NIE, and passport, without storing document images.
  • Native PMS integrations (Amenitiz, Cloudbeds, Hostaway) and sync with Booking.com and Airbnb: every booking generates its link on its own.
  • Self check-in with Nuki, TTLock, and igloohome smart locks, with virtual keys conditional on completed registration.
  • Automatic SES Hospedajes filing with receipts, error handling, and cancellation of already-filed reports.
  • Multi-property and multi-company structure with team roles, for growing managers.

When Check-in Vacacional is the better choice

Let us be fair: the pay-per-use model is an excellent idea for one specific case. If you rent very occasionally — a second home with a handful of stays a year, or a short season — paying 2 credits per filing and nothing the rest of the time is almost certainly cheaper than any monthly fee, and with 3 free credits you can start without a card.

It also fits if you value having no lock-in or commitment: you pay when you actually host, and if you do not rent one month, you pay nothing. For that profile, a flat subscription would mean paying for use you do not make.

The balance shifts with volume and with what you need around the filing. When bookings are steady, the per-filing cost adds up; and if you want document scanning, bookings flowing in on their own from your PMS, virtual keys with smart locks, or the ability to correct an already-filed report, BookCheckin offers a scope that a pay-per-report tool does not cover.

How to migrate from Check-in Vacacional to BookCheckin

Migrating requires no import: configure your properties and SES Hospedajes credentials in BookCheckin, verify a real filing, and overlap both tools over a few arrivals before you stop buying credits. With the 3 months free you can do it at no cost.

  1. 1

Keep your SES Hospedajes credentials at hand

The establishment code and landlord credentials are yours and work with any tool. Locate them first.

  2. 2

Create your BookCheckin account and add your accommodations

Sign-up is self-serve and the first 3 months are free, so you do not need to buy more credits while you test in parallel.

  3. 3

Connect your PMS if you use one

With Amenitiz, Cloudbeds, or Hostaway connected, bookings flow in automatically and each one generates its check-in link with no manual step.

  4. 4

Verify an accepted report with its receipt

Complete a trial check-in and confirm in the dashboard that SES Hospedajes accepts the report and the receipt is archived.

  5. 5

Overlap a few arrivals and stop buying credits

Keep both tools through several real bookings. Once the new flow works, save your history and stop topping up credits in Check-in Vacacional.

Frequently asked questions

How does Check-in Vacacional’s pricing work?+

Per its website (consulted July 2026), Check-in Vacacional charges per use via credits: 2 credits equal one complete filing to SES Hospedajes, with packs from €20 (10 credits) to €85 (100 credits) plus 21% VAT, with no monthly fee or lock-in, and 3 free credits on sign-up. That is between roughly €1.70 and €4 per filing before VAT, depending on the pack.

Is Check-in Vacacional or BookCheckin cheaper?+

It depends on your volume. With very few bookings a year, Check-in Vacacional’s pay-per-use is usually cheaper than any fee. With steady volume, BookCheckin’s flat fee (from €3/property/month, with no per-filing cost and the first 3 months free) tends to pay off, and it also includes online check-in, scanning, PMS, smart locks, and report cancellation. Do the maths with your real filings.

Does Check-in Vacacional scan identity documents?+

Its website (consulted July 2026) collects the guest’s data and signature via a link, but does not publish an OCR document-scanning feature, so we cannot confirm it; check with them. BookCheckin does scan DNI, NIE, and passport with AI and does not store document images.

Is BookCheckin a Check-in Vacacional alternative?+

Yes. BookCheckin covers the same — check-in link, data and signature capture, and filing the report with SES Hospedajes — and adds AI document scanning, PMS and smart-lock integrations, and cancellation of already-filed reports. The main difference is the pricing model: pay-per-use in Check-in Vacacional versus a flat fee in BookCheckin.

Does Check-in Vacacional file with Mossos d’Esquadra or the Ertzaintza?+

Its website (consulted July 2026) publishes filing with SES Hospedajes, but does not detail automated filing to Mossos d’Esquadra or the Ertzaintza, so check with them. BookCheckin does not automate those regional filings either: in Catalonia and the Basque Country we digitise data collection and signature, and you submit the regional report yourself.

Is it hard to migrate from Check-in Vacacional to BookCheckin?+

No. There is no data to import: your SES Hospedajes credentials are yours. Register your properties and credentials in BookCheckin, verify a test report with its receipt, and keep both tools in parallel over a few arrivals before you stop buying credits. With the 3 months free, that overlap costs you nothing.
